PRN Healthcare: A VIP Experience with RefAssured
Introduction
PRN Healthcare was founded in 1995 to disrupt the prevailing opinion of the time that staffing agencies were more concerned with competition than compassion. Unlike many healthcare staffing agencies, PRN was founded by talent – in this case, a nursing assistant named Pete Hietpas – to create the type of experience that candidates wanted and that patients deserved.
Fast forward to 2020, the beginning of the COVID pandemic, when staffing agencies around the country were grappling with shifting to a fully remote operational structure almost overnight, while also dealing with unprecedented surges in demand for qualified clinicians to heroically address the most challenging medical moment of recent memory.
The Challenge: Marrying Speed with Quality
Kelly Borman, Chief Operating Officer at PRN, and a 14-year veteran of the company, knew that combining speed and quality as key priorities would be critical to addressing what keeps her and her colleagues up at night, which is “finding enough qualified clinicians to be able to fill the open needs of healthcare facilities on a daily basis.” With that in mind, they turned to automating reference checks – a critical component of Joint Commission compliance in healthcare staffing – via a somewhat lightweight platform.
While this interim step sped up the reference process and cut down on recruiter time considerably, something was missing. “It was a very simplistic platform that we were using,” says Borman, “and there wasn’t a lot of data or any communication – even with the company itself. They were responsive at times, but I never felt that they had PRN’s best interests at the forefront of their minds.”
She continues: “It was transactional. They were a platform to use, but there was no relationship behind the platform.”
The Opportunity: A Magic Kingdom of Client Service
Considering the incredible value that PRN places on relationships with their healthcare professionals and internal recruiting teams, Borman knew that this arrangement wasn’t generating the ROI she and her colleagues and candidates needed. They turned to LEAP Advisory Partners for a full assessment of their technology stack, including their reference checking platform, and that’s when the bulb went off.
PRN uses symplr CTM as their applicant tracking system – a popular ATS for healthcare staffing agencies – in addition to maintaining their own homegrown ATS for other needs, nicknamed “the hub.” LEAP concluded its tech stack analysis and recommended a switch to RefAssured's reference checking platform for hire quality and intelligent automation due to its native integration with symplr CTM and the ability to seamlessly integrate with any ATS, including homegrown systems. PRN was on a tight timeline during the holiday season of 2023 as the contract end process with their previous reference check automation vendor was not as smooth as anticipated. The timing of when PRN needed to go live on RefAssured fluctuated due to this pre-existing contract uncertainty. Sensing this stress, the RefAssured team sprung into action.
Borman explains: “The team at RefAssured came to me and said, ‘Kelly – you tell us the day you need to go live and we will do what we need to do to make it happen.’ And they were true to their word – they were able to train our entire team in record time, were available and accessible to everyone, and once the holidays had passed, we were ready to go live.”

The Results: Hire Quality and Competitive Advantage
RefAssured’s native integration with the symplr CTM platform has been a huge productivity advantage for PRN recruiters. Leaders at PRN are especially pleased with the depth, breadth, and accuracy of the data and hiring intelligence in RefAssured's reference checking platform, which is considerably greater than what they had access to with their previous solution. Additionally, RefAssured’s API integration with PRN’s homegrown ATS, the hub, took less than two weeks, despite numerous intricacies.

From an ROI perspective, PRN has seen material improvements in average completion times, number of references contacted, and number of reference checks initiated by recruiter, allowing leaders to compare productivity metrics by recruiter.
RefAssured’s signature candidate self-evaluation questionnaire within its reference process also provides a new and exciting layer of hiring intelligence and overall hire quality assessment. Borman explains: “I appreciate the candidate self-evaluation because it tells us so much about the quality of hire. Does the candidate rate themselves higher than their managers do? Is that a red flag that we should pay attention to? It tells us a lot about their ability to do the job they’re applying to.”
Additionally, even metadata on actions such as the time it takes for a candidate to complete a self-reference can provide valuable insight. Says Borman: “How long does it take for a candidate to complete their self-evaluation or provide their reference giver information? If a candidate can’t take a minute to fill out their references or complete the self-evaluation, that suggests that maybe they’re not interested in working with us. That helps us weed out potential bad fits.”

Final Thoughts
Not only does RefAssured's reference checking platform provide the information architecture and data security that few platforms of its kind can promise, but also provides credible third-party vetting for quality of hire. Borman agrees. “RefAssured is third-party validation through a secure platform. A credible third party running the reference process. That’s a big deal. Our industry – healthcare staffing – hasn’t previously demanded this, but they should. RefAssured is on the forefront of giving the industry the solutions it needs before it even realizes it needs them.”
